We coordinate the visual hierarchy and production schedule so attendees can arrive, navigate and understand the key message. Venue requirements and deadlines are considered before production begins.

List every physical touchpoint: approach, parking, entrance, registration, cloakroom, rooms, sessions, exhibits, refreshments, facilities and exit. Then decide which information is permanent to the venue, reusable for the organiser or unique to the date.
Work backwards from the event date, allowing for content approval, artwork, proofing, production, packing, delivery and setup. Assign one final-copy approver. Last-minute copy changes after production begins should be treated as variations, not silently absorbed.
Confirm delivery access, storage, setup time, stand dimensions, fixing restrictions, fire-performance requirements, ceiling heights, power, floor type and disposal rules. Do not assume adhesive graphics or suspended signs are allowed.
